Tag Management
Create, edit, and organize tags to categorize contacts, conversations, and other records in Replyn.
Tags provide a flexible way to label and categorize your contacts and conversations. Unlike lifecycle stages (which represent a linear journey), tags can be applied in any combination, making them ideal for marking attributes, interests, campaigns, and more.

Creating Tags
Navigate to Settings > Tags.
Click the Create Tag button.
Enter a name for the tag. Use clear, descriptive names (e.g., "VIP Customer", "Interested in Product X", "Follow-up Needed").
Select a color for the tag. Colors help you quickly distinguish tags in contact lists and conversation views.
Click Save to create the tag.

Editing Tags
To edit an existing tag:
- Navigate to Settings > Tags.
- Find the tag in the list and click on it, or click the edit icon next to it.
- Update the tag name or color.
- Click Save to apply your changes.
Editing a tag name or color updates it everywhere the tag is used, including on contacts, in segment definitions, and in broadcast targeting rules. No contacts are removed from the tag when you edit it.
Deleting Tags
To delete a tag:
- Navigate to Settings > Tags.
- Click the delete icon next to the tag you want to remove.
- Confirm the deletion.
Deleting a tag removes it from all contacts and conversations that currently have it applied. If the tag is used in any segment rules or broadcast targeting criteria, those rules will also be affected. Review tag usage before deleting.
Where Tags Are Used
Tags are used across several areas of Replyn:
- Contact profiles — Apply tags to individual contacts to categorize them.
- Conversations — Tag conversations to track topics, urgency, or outcomes.
- Segments — Use tags as criteria when building contact segments for targeted outreach.
- Broadcasts — Target broadcast messages to contacts with specific tags.
- Filters — Filter contact lists and conversation views by tag.

Best Practices
- Be consistent — Establish a naming convention for tags across your team (e.g., always use title case, prefix campaign tags with "Campaign:").
- Avoid duplicates — Before creating a new tag, check if a similar one already exists.
- Use colors strategically — Assign similar colors to related tags (e.g., all campaign tags in blue, all priority tags in red).
- Review regularly — Periodically audit your tags and remove ones that are no longer in use.
