Lifecycle Stages
Customize the lifecycle stages used to track where contacts are in their journey with your business.
Lifecycle stages help you categorize contacts based on where they are in their relationship with your business. Whether you are tracking a sales pipeline, a patient journey, or a customer engagement funnel, lifecycle stages give you a clear view of contact progression.

Default Lifecycle Stages
Replyn comes with a set of default lifecycle stages. You can customize these or create entirely new ones to match your business process:
- New — Contacts who have just been added to your CRM.
- Engaged — Contacts who have had an interaction (message, call, etc.).
- Customer — Contacts who have made a purchase or completed a booking.
- Inactive — Contacts who have not engaged within a defined period.
Customizing Lifecycle Stages
Adding a New Stage
Navigate to Settings > Lifecycle Stages.
Click the Add Stage button.
Enter a name for the new stage.
Optionally, set a color to visually distinguish this stage in charts and contact lists.
Choose where the stage should appear in the stage order by dragging it to the desired position.
Click Save to create the stage.

Editing a Stage
Click on any existing stage to edit its name, color, or position in the order. Click Save to apply your changes.
Removing a Stage
To delete a lifecycle stage, click the delete icon next to the stage you want to remove, then confirm the deletion.
Removing a lifecycle stage that is currently assigned to contacts will move those contacts to the default stage. Review how many contacts are in a stage before deleting it to avoid unintended bulk reassignment.
Setting the Default Stage
The default stage is automatically assigned to every new contact when they are added to your CRM (whether manually, via import, or through a channel).
To set the default stage:
- Navigate to Settings > Lifecycle Stages.
- Find the stage you want to use as the default.
- Click the Set as Default button next to it.
- The default stage is marked with a badge for easy identification.

Changing the default stage only affects new contacts going forward. Existing contacts retain their current lifecycle stage.
How Lifecycle Stages Are Used
Lifecycle stages appear throughout Replyn:
- Contact profiles — Each contact displays their current lifecycle stage.
- Contact filters — Filter your contact list by lifecycle stage.
- Reports — The Contacts Report breaks down contacts by stage.
- Broadcasts — Target broadcast messages to contacts in specific stages.
- Segments — Use lifecycle stage as a criterion for creating dynamic segments.
