Booking Appointments

Learn how to book patient appointments step by step, from the calendar, a contact profile, or an inbox conversation.

Booking an appointment in Replyn brings together a patient (contact), a doctor, a treatment, and an available time slot. You can start the booking flow from the Clinic > Appointments page, from a contact profile, or directly from an inbox conversation.

Booking Steps

Select a Patient

Choose an existing contact or create a new one. Start typing the patient's name or phone number in the search field to find them quickly.

Choose a Doctor

Select the practitioner who will handle the appointment. Only doctors with active profiles appear in the list.

Pick a doctor from the available practitioners.

Select a Treatment

Pick the treatment the patient will receive. The treatment's default duration and price are automatically applied to the appointment.

Choose a treatment from your catalog.

Pick a Date and Time

Choose a date and an available time slot. The calendar only shows slots that fall within the selected doctor's configured availability.

Confirm the Appointment

Review the appointment summary — patient, doctor, treatment, date, time, and price — then click Confirm to finalize the booking.

Time slots are based on the doctor's availability schedule. If no slots appear for a given date, the doctor may not have availability configured for that day. Check the doctor's profile under Clinic > Doctors to update their schedule.

Booking from a Contact Profile

You can also book an appointment directly from a contact's profile page. Navigate to Contacts, open the patient's profile, and click the Book Appointment button. The patient field will be pre-filled.

Booking from an Inbox Conversation

While chatting with a patient in the Inbox, click the Book Appointment action in the conversation toolbar. Replyn automatically associates the appointment with the contact tied to the conversation.
