Creating a Broadcast
Step-by-step guide to creating and sending a broadcast campaign in Replyn.
Creating a broadcast in Replyn involves five steps: naming your campaign, selecting a message template, choosing your audience, scheduling delivery, and reviewing before sending. This guide walks you through each step.
WhatsApp broadcasts require pre-approved message templates from Meta. If you have not created and submitted templates yet, do so first through your WhatsApp Business Manager or via Replyn's template management. Templates must be in Approved status before they can be used in a broadcast.
Creating Your Broadcast
Name your campaign
Navigate to Broadcasts in the left sidebar and click New Broadcast. Enter a descriptive name for your campaign — this is for internal reference only and will not be visible to recipients.
Choose a name that makes it easy to identify the campaign later, such as "March 2025 Promo — 20% Off" or "Appointment Reminders — Week 12."

Select a message template
Choose the WhatsApp-approved template you want to use for this broadcast. The template preview will appear on the right side so you can verify the message content.
If your template includes dynamic variables (e.g., {{1}} for customer name, {{2}} for order number), you will configure the variable mapping in the next step.

Only templates with Approved status from Meta are available for broadcast. If you do not see a template you recently submitted, check its approval status in your WhatsApp Business Manager.
Choose your audience
Define who should receive this broadcast. You have three targeting options:
- Segments — Select a pre-defined contact segment (e.g., "Active Customers," "New Leads").
- Tags — Target contacts with specific tags (e.g., "VIP," "Interested in Product X").
- Manual Selection — Hand-pick individual contacts from your contact list.
The estimated audience count will update as you adjust your targeting criteria.

Schedule delivery
Choose when to send the broadcast:
- Send Now — The broadcast begins sending immediately after you confirm.
- Schedule — Pick a specific date and time for the broadcast to start. This is useful for timing campaigns to reach customers at optimal hours.

Scheduled broadcasts use your workspace's timezone setting. Double-check the timezone in Settings to ensure your broadcast sends at the intended local time.
Review and send
The review screen shows a summary of your broadcast:
- Campaign name
- Template being used
- Audience size (total number of recipients)
- Delivery schedule (immediate or scheduled time)
Review all details carefully. Once you are satisfied, click Send Broadcast (or Schedule Broadcast if you chose a scheduled delivery).

After Sending
Once your broadcast is sent or scheduled:
- It will appear in the Broadcasts dashboard with its current status.
- You can monitor delivery progress in real time from the Monitoring Broadcasts page.
- For scheduled broadcasts, you can cancel them before the scheduled time if needed.
Broadcasts cannot be edited after they are sent. If you need to make changes to a sent broadcast, you will need to create a new campaign. For scheduled broadcasts that have not yet started, you can cancel and recreate them.
